Applies where you pass work from your own customer contracts to individual drivers, and penalties apply to drivers taken on from 1 October 2026. Genuinely independent businesses working for their own customers are treated differently, so take advice if you're not sure how your contracts work. Read our Right to Work guide or the Home Office employer's guide on GOV.UK (opens in a new tab).
A driver's file is never finished.
Licences, insurance, time-limited right to work and MOTs all run out on their own dates. Now multiply that by every driver and every van.
One record, from day one to payday.
Everything you need to take someone on, keep them legal and pay them lives on the same record, so nobody types anything twice.

Days become self-bills
Agreed rates and approved days build every self-bill, ready to approve.
Your vans and your fines, under control.
Fines on your vans land on you as the business, and every one gets dearer the longer it sits. Qinetic puts each ticket and each van in front of the office with an owner and a deadline. If a driver picked the ticket up, it goes back to them on their self-bill, with the evidence.
Every one of your vans road-ready
- DVSA-aligned walkaround checks from the app, with photos.
- Defects become repairs with an owner, and every van keeps its service history.
Expired MOT: up to £1,000. Van in a dangerous condition: unlimited fine and 3 points, and your company can be prosecuted too.
Vans and maintenanceYour fines, caught before they go up
- Logged the day it lands
- Office owns it, with a deadline
- Paid or appealed in time
- Driver's ticket? Recharged on their self-bill
One London higher-level Band A ticket. Where a driver was responsible, the recharge goes on their self-bill with the photo and PCN attached. Ticket tracking and recharges are on Pro.
FineWatchThe Friday pay run, without the spreadsheet.
Copy the days from the rota, look up the rates, build the invoices, key the payments in one by one. And if the agreement or the wording is wrong, your self-bills aren't valid VAT invoices and your VAT reclaim can unravel.
-
Built from approved daysAt each driver's agreed rate. Nobody retypes the rota.
-
Recharges with the evidenceParking tickets and other deductions sit on the self-bill with the photo behind them, so the driver can see why.
-
The agreement on fileThe signed self-billing agreement sits on the driver's record.
-
HMRC wording built inOn every self-bill, every week, without anyone remembering to add it.
-
Approve once, pay everyoneOn Pro, pay every driver in one run and import your CX jobs too.
Drivers keep their own file up to date.
They sign their contract, upload a renewed certificate and check what they're owed, all from their phone. Nobody installs a fleet app to do paperwork. They install it to see their self-bills.
- Walkaround checks with photos, and tickets logged the moment they land.
- Free for drivers. They never pay a penny.
- iPhone and Android, with chat to the office.
Run the day from your phone when you're away from the desk.
Today's checks, unsafe vans, missing driver documents and incidents, plus chat with drivers on Pro. Included on every plan.

Do I have to check self-employed courier drivers now?
Since 1 October 2026, very likely yes, if you pass work from your own customer contracts to individual drivers. Those drivers count as individual subcontractors under the new rules, and penalties are up to £45,000 per worker for a first breach. Genuinely independent businesses contracting with their own customers are treated differently, so take advice if you're unsure how your contracts work. Read our Right to Work guide
What does Qinetic cover?
Everything between a driver's first day and their payday. Hiring (free), onboarding and driver compliance, including Right to Work, licences and insurance. Vans: MOT and tax checks, walkaround checks, defects and maintenance. Parking tickets and incidents. Self-billing and driver payments. Drivers and the office use the same app, and a morning email shows what needs fixing.
Our jobs are in CX. Can we still self-bill from Qinetic?
Yes. On Pro, upload your CX or other CSV/Excel export and Qinetic builds a self-bill for each driver, with VAT and deductions worked out. Building self-bills from approved days and agreed rates is included in Core. See job import
Do my drivers pay anything?
No. You pay per active driver. Drivers never pay for the app, their self-bills or anything else.
Is there an app for the office, not just drivers?
Yes. Admins sign in to the same Qinetic app and get their own view: today's walkaround checks and any that look rushed, vans marked unsafe, drivers with missing documents, and incidents, which they can also log from their phone. On Pro, they can chat with drivers and driver groups too. The admin app is included on every plan. See the mobile app
What does Qinetic cost?
Core is £5 per active driver per month, and Pro is priced on request. Start a 14-day free trial with no credit card, or book a free Right to Work review and we'll show you the workflows that matter to your operation. See pricing
