Why driver compliance is harder for courier firms

A haulier with ten employed drivers can keep compliance in a filing cabinet. A same-day courier firm can't. Owner drivers join at short notice, work for you for a few months and move on, send a substitute when they're busy, and bring their own vans and insurance. Every one of them still needs the right paperwork before they take a job.

Most firms manage it with photos in a group chat and a spreadsheet of expiry dates that someone updates when they remember. It holds together until a customer audit, an insurance claim or a Home Office visit asks you to prove that a particular driver was checked on a particular day.

From 1 October 2026 the stakes went up. Right to Work checks now cover individual subcontractors and their substitutes, with penalties of up to £60,000 per worker for repeat breaches.
